Privacy Policy

Homeschool Platform ("we," "us," "HP") provides software that homeschool organizations ("Organizations" — co-ops, microschools, PSPs, umbrella schools, etc.) use to run their administrative operations. This Privacy Policy explains how we handle data when you (a parent, guardian, or student) interact with the platform through an Organization that uses our service.

Two relationships at once.Your Organization sets the rules for the data they collect from you (enrollment, attendance, grades, etc.) — they are the "controller" of that data. We provide the software they use to manage it — we are the "processor." This policy covers what we do as the processor. Your Organization has their own privacy practices; ask them for details about those.

Children's data (COPPA)

The Children's Online Privacy Protection Act (COPPA) applies to personal information collected from children under 13. We rely on your Organization's "school authorization" to collect this data on the Organization's behalf for educational purposes. We do not knowingly collect personal information from a child under 13 outside of an Organization's authorized use of the platform.

Payments

Payments are processed by your Organization's connected Stripe account. Card data flows directly from your browser to Stripe — it never touches our servers. We store only Stripe references (customer ID, payment method ID, last 4 digits of card) for reconciliation. Refunds, disputes, and tax reporting (including 1099-K issuance) are handled by your Organization through their Stripe account, not by us.

Your rights

You can review, update, or correct your account information at any time from your profile. To request a copyof your family's data, or to request deletion, contact us at privacy@homeschoolplatform.com. We will respond within 30 days.

Note: some state laws require permanent retention of student transcripts and other educational records. We comply with those requirements even when a deletion request is received. See the Parents' Bill of Rights for details on your rights and our retention obligations.

Security

We use industry-standard practices to protect your data: encryption in transit (TLS) and at rest, role-based access controls, audit logging, and regular security review. No system is perfectly secure; in the event of a data breach, we will notify affected Organizations and families within the timeframes required by applicable law.

Data retention

Operational data (current enrollments, attendance, messages) is retained while your Organization is active on the platform. If your Organization leaves the platform, operational data is exportable for 30 days and permanently deleted within 90 days.

Finalized archives (transcripts, IHIP, portfolio evaluations, immunization records) are retained indefinitely so your family has access to them even if your Organization leaves the platform or the platform itself discontinues service. Each finalized archive is also emailed to your family at the moment of finalization, so you have an off-platform copy regardless of what happens to us.

Audit logs (access records, modification history) are retained for 7 years for compliance and dispute-resolution purposes.

If we discontinue the platform

If Homeschool Platform discontinues service, we commit to providing at least 180 days' notice to Organizations and families, enabling bulk export of data during the notice period, and sending periodic reminders to families with archived records. Finalized records emailed to your family at the time of finalization remain in your possession regardless of platform availability.

If we're acquired

If Homeschool Platform is acquired by, merges with, or sells assets to another company, your data may transfer to that successor entity. We will notify you in advance and provide an opportunity to delete your archived records before the transfer takes effect. Any successor must agree to maintain our privacy practices or provide equivalent protections.

Changes to this policy

We may update this Privacy Policy from time to time. Material changes will trigger a re-acknowledgment request the next time you log in. Earlier versions are available on request.

Jurisdiction

This service is provided to private homeschool organizations and their families in the United States only. We do not currently serve organizations affiliated with public school districts, or families outside the United States.
